UNITY OF SOUTH SOUND BOARD OF TRUSTEES MEETING
Minutes for March 4, 2021
Opening Prayer – The monthly meeting of the Unity of South Sound (USS) Board started at 6:30 PM (online via Zoom) with an opening prayer by Rev. Jeffrey.
Board of Trustee (BOT) members, Ruth Rogers, Rev. Jeffrey Fowler, Lisa Hagen, Michele Millsap, David Sandall-Hill, in-coming members Nancy Jackson and Janine Hall, and out-going member Barbara Bauml were in attendance. Barbara exited the meeting after check in.
Welcome new members Janine Hall and Nancy Jackson. We are excited to have you join our amazing Board.
Check In – Board members checked in with one another.
Officer Elections – Rev. Jeffrey facilitated the election of officers (President, Vice-President, Secretary, and Treasurer) by reviewing the positions, responsibilities (per the information sheet Jeffrey had emailed), and inviting any questions about the offices. Discussion about serving on the board in various capacities ensued; after members volunteered for positions all were approved, none opposed, and the results were:
· President – Ruth Rogers
· Vice President – David Sandall-Hill
· Secretary – Michele Millsap
· Treasurer – Lisa Hagen
· At Large – Nancy Jackson
· At Large – Janine Hall
Counting Tithes Check Signing – David & Michele all Sundays except 3/28, Lisa will take care of 3/28. David will be the person to make sure tithe counting is scheduled each month. Michele will email Heidi this month.
Secretary’s Report / Board Minutes – approved via email
Tithe Report – Lisa Hagen joined the Tithe Committee. Lisa moved to accept the tithes; Michele seconded. All approved.
Treasurer’s Report – we are rocking it! Started the year with an amazing tithe by Ron & Stella Black. Last month we talked about allocation of those funds and we need to tweak it a little bit; need to account for the USS tithe. Net income super strong, well ahead of budget. Our balance sheet shows a healthy cash balance and expenses are largely in line with budget. Feeling pretty good about 2021!
Minister’s report – very consistent all year. Remains same with high pastoral care, less admin, though when we do something it does take longer. Very grateful to be able to serve in this manner. Ask again that we hold our congregation in prayer. We are doing so well as a ministry spiritually and financially. Grateful for all of you. It is a really sacred time with all this pastoral care.
Social Media Report – Rev. Jeffrey reported it is a lot of fun to work with Jenny. Jenny wants to remind the Board members to engage people on their Saturday Facebook live broadcasts, and to mention the E-Blast. E-Blast open rate is up. Jenny produced a very nice report. Some highlights from the report: Facebook (FB) had 15 clicks on “Join Unity e-Family”, an increase of 1,500 people in FB reach, E-Blast open rate up 1.3% and we have 7 new subscribers, and Jenny started Tik-Tok this month. Regarding the trolling issue… pretty rare, just let Jenny know who the person is and she can block the person.
· As a Board, we decided that if a Board Member is on and sees trolling going on, we approve blocking trolls on the spot. Amy is also approved to block trolls.
Gift for Ron & Stella Black – Rev. Jeffrey will take it out to them in person.
Allocation of the $43,000 donation – will be reviewed and adjusted to include tithe and split into 5 groups: savings (about $10,000), security (cameras, lighting, motion detectors), new A/V and lighting needs for in-person services, landscaping services extended for another year, and Ed Jones investments (left over and unused amounts). Lisa will pull together details. David will reach out to his security person to get quotes on security cameras. We will ask Amy for what she feels is needed. We will ask Jeff and Jon to contribute toward security and lighting as well.
Masks – no update at this time. Will try to complete in next couple weeks.
New Check Signers – Nancy Jackson and Janine Hall need to be added on the bank account.
· Insurance for new board members – Jeffrey will send information to Nancy, Janine, Michele, and David
Easter – we will basically do what we normally do, but virtual, where someone at the church will put flowers in for each person who would like a flower placed for them. We will name out loud those who would like to be recognized. Might be a good time to recognize Dan Peart.
Chaplain prayer gathering: prayer services tentatively scheduled for April 6th and 20th and May 4th and 18th, and prayer class is scheduled for 6/8, 6/15, and 6/22 from 7-9p. These may be subject to change and will be finalized in the next couple weeks.
First PPP loan to grant (loan forgiveness) – we got it! Heidi will get the paperwork soon. Lisa will check with Heidi to make sure we tithed on the original $16,900. If not, we will arrange that.
New PPP Grant – still in progress
Annual Meeting Discussion – was such a loving wonderful connection. It was delightful! We had 53 people. Most we have ever had! We discussed future state where we are in person again, but we should keep a virtual option for our members who may not be local or able to attend in person. There was a quorum at the annual meeting and Nancy Jackson and Janine Hall were elected as new Board members.
Closing Prayer – Rev. Jeffrey closed the meeting with a prayer and the meeting ended at 8:50pm.
